For the purposes of this Privacy Notice, Safetykleen Group Services Limited and its Affiliates will be referred to as “Safetykleen” (including “we”, “us” or “our”), except where indicated otherwise. Safetykleen is a provider of parts cleaning, waste management and regulatory advisory services.

Personal data is any information relating to an identified or identifiable natural person. Safetykleen is committed to protecting your personal data. This Privacy Notice explains how we (and any of the companies within the same corporate group as Safetykleen, when acting as a controller) collect, use, protect, disclose and otherwise process your personal data, including by:

• your use of our website, including any submission of your queries via our website (e.g., a query to obtain a quote);
• our provision of services to our customers, including former, current, and prospective customers;
• your provision of your services to Safetykleen; and/or
• your communication with us by other means (e.g., social media).

3. What personal data do we collect about you?

Depending on how you use this website and how you engage with us, we may collect the following types of personal data about you:

Personal data in the public domain	Data from publicly accessible sources, e.g., Companies House. Any personal data which you have made public on any website associated with you or your company or on social media platforms, e.g., LinkedIn.
Personal data from our affiliates	Data from a third party, e.g., an individual who has introduced you to us or other affiliates with whom we may may work.

4. How do we obtain your personal data?

We may collect or receive your personal data in the following ways:

• from you directly, for example when you speak to us on the telephone, when you visit our website, when you e-mail us, when you fill out our forms, when you subscribe to our mailing lists, when you attend our premises or where we engage with you in the course of carrying out services for you (if applicable);
• from our own group companies (as listed above) or third-party service providers;
• from publicly available sources such as governmental websites, company registries, search engines and social media sites; or
• from your device or browser where we monitor your use of, or interactions with, our website.

5. For what purposes do we use your information and upon what lawful basis do we rely?

The purpose for which we use and process your information and the legal basis on which we carry out each type of processing is explained below.

We endeavour to ensure that the contacts in our database are relevant and up-to-date. We consider this use to be proportionate and will not be prejudicial or detrimental to you. You may require us to remove you from our marketing database at any time.
Social media data	Data collected as part of a user's interaction with Safetykleen's social media pages.
Personal data in the public domain	Data from publicly accessible sources, e.g., Companies House. Any personal data which you have made public on any website associated with you or your company or on social media platforms, e.g., LinkedIn.
Personal data from our affiliates	Data from a third party, e.g., an individual who has introduced you to us or other affiliates with whom we may may work.
To send you newsletters, publications, announcements, surveys and marketing communications or notifications we believe may be of interest to you.	Depending on the jurisdiction in which you are based, we will rely either on legitimate interest or consent for this processing. We will rely upon legitimate interests in the following jurisdictions: UK; Portugal; Spain in respect of commercial campaigns, cross-selling campaigns; Germany; France, Poland; and Czechia. We will rely upon consent in the following jurisdictions: Italy; and Spain in respect of newsletters, publications, adverts, surveys and marketing communications. You can opt out of receiving direct marketing-related email communications by contacting us. Please see section 6 below for further details.
To send you information regarding changes to our policies, other terms and conditions and other administrative information.	It is in our legitimate interests to ensure that any changes to our policies and other terms are communicated to you. We consider this use to be necessary for our legitimate interests and will not be prejudicial or detrimental to you.
To measure or understand the effectiveness of any marketing we provide to you and others, and to deliver relevant marketing to you.	It is in our legitimate interests to measure or understand the effectiveness of any marketing we provide. We consider this use to be proportionate and will not be prejudicial or detrimental to you.
To administer our website and internal IT systems, including to keep our website safe and secure.	It is in our legitimate interests to monitor and improve continually your experience as a Safetykleen customer on our website and to ensure our internal network security. We consider this use to be proportionate and will not be prejudicial or detrimental to you.
Processing personal data to meet our legal and regulatory obligations, including tax reporting; or fraud prevention; or when we are served with a legal claim or receive a complaint by you.	It is our legal obligation to comply with legal and regulatory requirements inherent to the operation of Safetykleen.
Business performance analytics	It is in our legitimate interests to monitor and improve continually the performance of Safetykleen's business, be that via internal financial reporting, analysis of customer and supplier relationships or client care. We consider this use to be proportionate and will not be prejudicial or detrimental to you.
Internal compliance monitoring	It is our legal obligation to monitor Safetykleen operations and ensure compliance with the legal requirements (e.g., internal record-keeping in compliance with UK GDPR/EU GDPR and any relevant local regulation on data protection). More rarely, we may need to process your personal data to protect your vital interests, e.g. we may need to disclose information regarding your health to a hospital in the event of a medical emergency.
For the purposes of corporate transactions engaged in by Safetykleen	It is in our legitimate interests to grow Safetykleen's business and commercially succeed by engaging in M&A activity. We consider this use to be proportionate and will not be prejudicial or detrimental to you.
Deploying cookies and other storage and access technologies.	We rely on consent or legitimate interests depending on the type of cookie being deployed (see section 12 (Cookies and similar storage and access technologies) below).

Where we rely on legitimate interests as a lawful basis, we will carry out an assessment to ensure that your interests, rights and freedoms do not override our legitimate interests. However, you may tell us at any time if you do not wish your personal data to be used for the purposes of our legitimate interests by contacting our DPM via email at [email protected]. (please see “Rights” below for further information).

We will tell you whether information we request is mandatory, and the consequences if you fail to provide it. For example, if you do not wish to provide us with your personal data and processing such information is necessary for the performance of a contract with you, we may not be able to perform our obligations under the contract between us.

Safetykleen will only use your personal data for the purposes for which we collected it, unless we reasonably consider that we need to use it for another reason and that reason is compatible with the original purpose. If we need to use your personal data for an unrelated purpose, we will notify you in a timely manner and we will explain the legal basis which allows us to do so.

6. Email marketing

For email marketing to an individual subscriber (that is, a non-corporate email address) with whom we have not previously engaged, we need your consent to send you unsolicited email marketing. In certain jurisdictions, we need your consent to send you unsolicited email marketing to a corporate email address (i.e., for business-to-business marketing).

Where you provide consent, you can withdraw your consent at any time, but without affecting the lawfulness of processing based on consent before its withdrawal.

Where we are not required to obtain your consent, we will rely on our legitimate interest in promoting our business to send you marketing communications.

You have the right to opt out of/ unsubscribe from receiving email marketing communications from us at any time (or to ask us to remove you from our marketing database) by contacting us using the contact details set out above. Requests to unsubscribe may take a few days to take effect.

7. Who we share your data with

We share your personal data with our employees and contractors as necessary for the purposes explained above.

Personal data will also be shared with our third-party service providers who assist with the running of our website and business, including:

• database service providers;
• IT service providers;
• backup and disaster recovery service providers;
• digital marketing service providers to conduct marketing activity on our behalf (e.g., Prospect Global Limited (trading as Sopro), whose details are available here: http://sopro.io); and
• others.

Our third-party service providers are subject to security and confidentiality obligations and are only permitted to process your personal data for specified purposes and in accordance with our instructions.

In addition, Safetykleen may disclose information about you:

• in the event that we sell or buy any business or assets, in which case we may disclose your personal data to the prospective seller or buyer of such business or assets;
• if all or substantially all of Safetykleen assets are acquired by a third party, in which case personal data held by it about its customers will be one of the transferred assets;
• if we are under a duty to disclose or share your personal information in order to comply with any legal obligation;
• if necessary to protect the vital interests of a person;
• to enforce or apply any contractual terms or to establish, exercise or defend the rights of Safetykleen, our staff, customers or others.

8. International transfers

The personal data we process may be transferred to, and stored, at a location outside of the European Economic Area (“EEA”, which consists of EU member states plus Iceland, Lichtenstein and Norway) for the purposes of processing by entities within the Safetykleen group of companies (including those in Brazil or Turkey) or third-party service providers that work for Safetykleen.

Where personal data is transferred to and stored in a country not determined by the European Commission or the UK Government, as applicable, as providing adequate levels of protection for personal data, we take reasonable steps and implement appropriate measures to ensure that your personal data is adequately protected, wherever it may be, in accordance with applicable data protection laws on the transfer of personal data between countries.

Where we transfer personal data outside of the UK or the EEA, we are required to ensure that an appropriate safeguard has been implemented to ensure the security of the personal data being transferred. In general, when transferring your personal data outside the UK or the EEA, we will only do so using one of the following safeguards:

• the transfer is to country which has an adequacy decision by the European Commission/ UK Government ;
• the transfer is covered by a contractual agreement, which covers the UK GDPR/EU GDPR requirements relating to transfers to countries outside the EEA.
• the transfer is to an organisation which has Binding Corporate Rules approved by an EU data protection authority, or an applicable alternative; or
• the transfer is to an organisation in another country (including the USA) with whom we have the relevant standard contractual clauses (or other contractual terms approved by the relevant supervisory authority) in place.

9. Security of your personal data

Safetykleen use appropriate technical and organisational safeguards to protect personal data both online and offline from unauthorised use, loss or destruction. We use industry standard physical and procedural security measures to protect information from the point of collection to the point of destruction. This includes firewalls, access controls, policies and other procedures to protect information from unauthorised access.

Only authorised personnel and third-party service providers are permitted access to personal data, and that access is limited by need. Where data processing is carried out on our behalf by a third party, we take steps to ensure that appropriate security measures are in place to prevent unauthorised disclosure of personal data.

Despite these precautions, however, Safetykleen cannot guarantee the security of information transmitted over the Internet or that unauthorised persons will not obtain access to personal data. In the event of a data breach, Safetykleen has put in place procedures to deal with any suspected breach and will notify you and any applicable regulator of a breach where required to do so.

10. How long we keep your personal data

We will keep your personal data only for as long as is necessary for the relevant purposes for which we are using it (as set out above). When we no longer require the personal data we have collected about you, we will either delete or otherwise anonymise it.

The period for which we keep your personal data will be determined by several criteria, including the purposes for which we are using it, whether we can achieve those purposes through other means, the amount and sensitivity of the information, the potential risk of any unauthorised use or disclosure of the information, and whether we have a legal and/or regulatory obligation to retain it.

11. Your rights

You may have the following rights under applicable data protection laws in relation to your personal data:

• The right to ask us for a copy of your personal data.
• The right to ask us to erase your personal data under certain circumstances.
• The right to request that your personal data is rectified if you think it is inaccurate or out of date. Please keep us informed if your personal data changes during your relationship with us.
• The right to request restriction of the processing of your personal data in certain circumstances.
• The right to object to the processing of your personal data in certain circumstances.
• The right to object to our processing of your personal data for direct marketing purposes at any time;
• The right to data portability. This only applies to information you have given us. You have the right to ask that we transfer the information you gave us from one organisation to another, or give it to you. The right only applies if we are processing information based on your consent or under, or where needed for the performance of/to enter into into a contract and the processing is automated.
• If we process your personal data on the basis of your consent, you have the right to withdraw consent at any time, without affecting the lawfulness of processing based on consent before its withdrawal.

UK Only: Right to Complain

If you are based in the UK, from 19th June 2026, you have the right to make a complaint to Safetykleen if you consider that there is an infringement of the UK GDPR in connection with our processing of your personal data. To make a complaint to Safetykleen, please contact our Data Protection Manager at the above address.

In accordance with the UK GDPR, we will respond to your request within one calendar month upon receipt of your request, any information requested to confirm your identity (if required); or a fee if this has been requested for responding to a manifestly unfounded or excessive request. Where we are unable to progress your response, we will contact you. In certain circumstances, we may extend the timeline of our response to three calendar months in accordance with applicable law.

The rights available to you depend on our reason for processing your information and there are some exemptions to those rights. To exercise your rights with respect to your personal data, you can submit a data subject rights request via email to [email protected].

In addition to the rights listed above, you also have the right to make a complaint at any time to your local supervisory authority (details of which can be found in the table below). We would, however, appreciate the chance to deal, with your concerns before you approach your supervisory authority and would ask that you please contact us in the first instance.

This section explains how Safetykleen uses cookies, pixels, local storage and similar storage and access technologies (referred to together for ease of reference only as “cookies” in this Privacy Notice) when you visit our website, and how you can control them. It applies to our website visitors in the United Kingdom and in the European Economic Area, including Spain, France, Germany, Italy, Portugal, Belgium, the Netherlands, Hungary, Czech Republic, Poland and Slovakia.

Google Analytics

We are obliged by Google Analytics to state the following: This website uses Google Analytics, a web analytics service provided by Google Inc. (“Google”). Google Analytics uses “cookies”, which are text files placed on your computer, to help the website analyse how users use the site. The information generated by the cookie about your use of the website (including your IP address) will be transmitted to and stored by Google on servers in the United States. Google will use this information for the purpose of evaluating your use of the website, compiling reports on website activity for website operators and providing other services relating to website activity and internet usage. Google may also transfer this information to third parties where required to do so by law, or where such third parties process the information on Google’s behalf. Google will not associate your IP address with any other data held by Google.

12.5 International transfers in relation to cookies

Our deployment of cookies may result in personal data being transferred to, and stored, at a location outside the EEA for the purpose of, for example, transferring your personal data to cookie providers.  

Several of our cookie and pixel providers (including Google, Microsoft and LinkedIn) are based in, or transfer data to, the United States. Where this happens, we rely on the UK’s data bridge/EU-U.S. Data Privacy Framework certification of the recipient, or on Standard Contractual Clauses (with a UK International Data Transfer Addendum, where relevant), as our transfer safeguard. StackAdapt (Canada) is based in a country the European Commission and UK have both recognised as adequate.

You can accept or reject non-essential cookies, and change your choices at any time, using our cookie preference tool, available via our Consent Management Platform on our website (i.e., our cookie banner which appears automatically on your first visit to our website).

Safetykleen reserves the right to change this privacy notice from time to time. Any changes will be posted on this page with an updated revision date. We will post a prominent notice on the website to notify you of any significant changes to our privacy notice, or update you by other appropriate means.
